Order Management & Fulfillment Guide for New Online Merchants
← Articles / How to ship
Starting an online business is not too difficult, but once orders start rolling in, your operational workload increases. From replying to messages and verifying payments to preparing items, packing parcels, and sending tracking numbers, keeping everything organized is key.
For new online merchants, having a clear workflow from day one helps minimize mistakes and brings structure to your business—even if you are starting small with just a few orders a day.
1. Record Every Order Immediately
Whenever a customer places an order, record the details right away, including the buyer's name, product items, quantity, price, and contact channel.
If you sell across multiple channels—such as Facebook, LINE, TikTok, or global marketplaces—consolidate your data into a single place to avoid missed orders or confusion. In the beginning, a simple spreadsheet is more than enough; you don't need to invest in expensive software right away.
2. Clearly Categorize Order Statuses
Set up defined statuses for your orders so you can track them easily:
- Pending Payment
- Paid
- Preparing Items
- Ready to Ship
- Shipped
Categorizing statuses helps you see exactly where each order stands in the fulfillment pipeline and prevents you from shipping items before payment verification is complete.
3. Verify Items Before Packing
Before packing any parcel, double-check the product model, color, size, and quantity against the customer's order. If you are fulfilling multiple orders at once, separate the items into distinct piles or bins corresponding to each order number.
Taking a few seconds to double-check before sealing the box prevents costly mistakes like sending wrong or missing items, which often results in expensive reshipping fees.
4. Choose the Right Packaging for Your Products
Your boxes or mailers should match the size and nature of your products. Avoid packaging that is excessively large, or too small and tight, which could risk damaging the items.
Fragile items should always include protective padding (like bubble wrap), while moisture-sensitive products require secure, weather-resistant packaging. Always inspect the structural integrity and sealing of the box before dispatching.
5. Calculate Shipping Costs Accurately
Study the shipping calculation methods of different carriers, keeping in mind both actual weight and volumetric dimensions, as some lightweight items take up significant physical space.
If you are selling internationally, carefully calculate the shipping rates based on the destination country, package specifications, and any related fees before quoting the final price to your customer. Accurate calculations protect your profit margins from unexpected shipping overheads.
6. Provide Tracking Information to Customers
Once an order has been dispatched, promptly send the tracking number along with a link where the customer can monitor its delivery status.
If you are shipping internationally, gently remind customers that delivery times may vary depending on the destination country, shipping routes, and customs clearance procedures at the border. Providing transparent information builds trust and reduces customer inquiry messages.
7. Regularly Summarize Sales and Expenses
Online merchants should consistently log sales alongside related operating costs—such as product costs, packaging materials, shipping fees, platform commissions, and miscellaneous expenses.
Looking only at gross sales can be misleading, making a business look highly profitable while ignoring hidden expenses. Keeping regular financial records helps you evaluate whether you need to adjust pricing or control specific costs.
Start Simple, Grow Smoothly
New online merchants don’t need an overly complex management system on day one. The most important habits are keeping complete records, double-checking orders before shipping, and keeping track of your expenses.
As your business grows—especially when expanding to international or worldwide customers—take time to research cross-border shipping methods and select reliable logistics partners. This ensures you can provide exceptional customer service before and after the sale!
